Then, add yourself as a member to export mailbox to PST from Office 365.<\/li>\r\n\r\n\r\n\r\n<li>In the eDiscovery manager prompt, click on the edit button of the eDiscovery Administrator option and add the Export role.<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<p>Now the user needs to move towards the process to export Office 365 mailbox to PST to perform a content search. Just follow the below-mentioned process to create the new search:-<\/p>\r\n\r\n\r\n\r\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Content_Search\"><\/span>Content Search<span class=\"ez-toc-section-end\"><\/span><\/h3>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Click on the\u00a0<strong>App launcher\u00a0<\/strong>button and choose\u00a0<strong>Search and Investigation<\/strong><strong>\u00a0<\/strong>\u00b7 Here, click the\u00a0<strong>Content Search<\/strong>\u00a0option from the dropdown menu. If you\u2019re missing the content search option, wait for at least 24 hours as changes in the e-discovery permission take up to 24 hours.\u00a0<strong>\u00a0\u00a0<\/strong>Now, click on the\u00a0<strong>+ New Search<\/strong>\u00a0option. The search window lets you specify which mailbox data you want to export. It also provides an option to search all locations; ticking this will search all the SharePoint and public folder databases. Doing this will take some extra time.<\/li>\r\n\r\n\r\n\r\n<li>Choose mailboxes according to your need and click on the\u00a0<strong>Save and Run<\/strong>\u00a0Apart from location filter, eDiscovery lets you use keywords to specify data for backup.<\/li>\r\n\r\n\r\n\r\n<li>Then, enter the name and description for your search and click the\u00a0<strong>Save<\/strong>\u00a0After clicking on the\u00a0<strong>Save\u00a0<\/strong>option, the mailbox search will run in the background.<strong>\u00a0\u00a0<\/strong><\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Export_Results\"><\/span>Export Results\u00a0\u00a0<span class=\"ez-toc-section-end\"><\/span><\/h3>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Now go back to the Search window, click on the\u00a0<strong>Refresh\u00a0<\/strong>button and choose your search.<strong>\u00a0\u00a0<\/strong><\/li>\r\n\r\n\r\n\r\n<li>You can see the status of the search in the next window. If completed, then click\u00a0<strong>More\u00a0<\/strong>and hit on the\u00a0<strong>Export Results<\/strong><strong>\u00a0\u00a0<\/strong><\/li>\r\n\r\n\r\n\r\n<li>A new window will pop up. Here you can choose whether to include encrypted files or the Output option to export mailbox to PST from Office 365. I\u2019ll suggest you go with the default option as it\u2019s the most reasonable for Export Office 365 mailbox to PST files.<\/li>\r\n\r\n\r\n\r\n<li>Now, copy the Export key from the popup, and click the\u00a0<strong>Download Result<\/strong><\/li>\r\n\r\n\r\n\r\n<li>Now, the eDiscovery PST Export tool will start. Paste the copied export key here, then browse the location to export Office 365 mailbox to PST.<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"616\" height=\"241\" class=\"wp-image-91\" src=\"https:\/\/www.weeom.com\/blog\/wp-content\/uploads\/2023\/03\/Export-Office-365-Mailbox-to-PST-img-1.webp\" alt=\"\" srcset=\"https:\/\/www.weeom.com\/blog\/wp-content\/uploads\/2023\/03\/Export-Office-365-Mailbox-to-PST-img-1.webp 616w, https:\/\/www.weeom.com\/blog\/wp-content\/uploads\/2023\/03\/Export-Office-365-Mailbox-to-PST-img-1-300x117.webp 300w\" sizes=\"auto, (max-width: 616px) 100vw, 616px\" \/><\/figure>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>At last, click on the\u00a0<strong>Finish\u00a0<\/strong>button, and your mailboxes will start exporting into the local drive.<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Drawbacks_of_eDiscovery_export_tool\"><\/span>Drawbacks of eDiscovery export tool<span class=\"ez-toc-section-end\"><\/span><\/h3>\r\n\r\n\r\n\r\n<p>The Manual option is always a solution, but it\u2019s a lot of extra work if you\u2019re not blessed with technical expertise. It comes with some drawbacks as mentioned below.<\/p>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li><strong>Content search option is missing:\u00a0<\/strong>As I have mentioned above, sometimes you may miss the export\/content search button. It happens because your account doesn\u2019t have an assigned import\/export role to your mailbox.<\/li>\r\n\r\n\r\n\r\n<li>You can use the following PowerShell command to assign import\/export mailboxes quickly:<\/li>\r\n\r\n\r\n\r\n<li>New-ManagementRoleAssignment \u2013Role \u201c<strong>Mailbox Import Export<\/strong>\u201d \u2013User \u201cuser name\u201d<\/li>\r\n\r\n\r\n\r\n<li><strong>Export Result doesn\u2019t support:\u00a0<\/strong>The eDiscovery export is performed with the click once extension. Also, it only works in Microsoft Edge or Internet Explorer browsers.<\/li>\r\n\r\n\r\n\r\n<li><strong>Creates Duplicate Items:\u00a0<\/strong>Duplicates are common when exporting to PST. It\u2019s because eDiscovery frequently detects several copies of the same email message and handles them as independent objects by default. By Enabling the de-duplication option, you can easily avoid it. But the de-duplication method isn\u2019t perfect. It has certain flaws: designate some unique things as duplicates, preventing them from being exported.<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<p><strong>More high risks:\u00a0<\/strong>There are more glitches with the eDiscovery method.<\/p>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Some of your PST file items may get missing<\/li>\r\n\r\n\r\n\r\n<li>High chances of PST files getting corrupt<\/li>\r\n\r\n\r\n\r\n<li>Takes too much time and has the risk of data loss<\/li>\r\n\r\n\r\n\r\n<li>Requires technical expertise<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<p>eDiscovery utility has a few hitches. So, there is no easy cure for these issues. Using an out-of-date PST file format for backup or archiving is, in fact, a bad idea.<\/p>\r\n\r\n\r\n\r\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"2_Export_Office_365_Mailbox_to_PST_using_ImportExport_Wizard\"><\/span>2. Export Office 365 Mailbox to PST using Import\/Export Wizard<span class=\"ez-toc-section-end\"><\/span><\/h2>\r\n\r\n\r\n\r\n<p>It\u2019s another solution and is better than eDiscovery. But I\u2019ll recommend this solution only for individuals, not a reliable one for MNCs and administrators.<\/p>\r\n\r\n\r\n\r\n<p>In this way, you have to create an Outlook profile of your Office 365 mailbox and then export that Outlook profile\u2019s data into Outlook PST format.<\/p>\r\n\r\n\r\n\r\n<p>I\u2019ve divided this method into two phases, so it\u2019ll be easy to understand for you. But before starting the process, I suggest this only for individuals.<\/p>\r\n\r\n\r\n\r\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"PHASE1_Create_Outlook_profile_for_Office_365_account\"><\/span>PHASE1: Create Outlook profile for Office 365 account<span class=\"ez-toc-section-end\"><\/span><\/h3>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Launch Outlook and click on the New option.<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"339\" height=\"157\" class=\"wp-image-92\" src=\"https:\/\/www.weeom.com\/blog\/wp-content\/uploads\/2023\/03\/Export-Office-365-Mailbox-to-PST-img-2.webp\" alt=\"\" srcset=\"https:\/\/www.weeom.com\/blog\/wp-content\/uploads\/2023\/03\/Export-Office-365-Mailbox-to-PST-img-2.webp 339w, https:\/\/www.weeom.com\/blog\/wp-content\/uploads\/2023\/03\/Export-Office-365-Mailbox-to-PST-img-2-300x139.webp 300w\" sizes=\"auto, (max-width: 339px) 100vw, 339px\" \/><\/figure>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Next, provide a name for your profile and click Next.<\/li>\r\n\r\n\r\n\r\n<li>Then select\u00a0<strong>Manual setup or additional server types<\/strong>\u00a0radio button and click\u00a0<strong>Next<\/strong>.<\/li>\r\n\r\n\r\n\r\n<li>Following choose IMAP or POP option and then provide the asked information in the Next wizard.<\/li>\r\n\r\n\r\n\r\n<li>Once done with the information, click\u00a0the<strong>\u00a0More Settings<\/strong>\u00a0option and add the incoming and outgoing server in the\u00a0<strong>Advanced<\/strong>\u00a0tab.<\/li>\r\n<\/ul>\r\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-95 size-full\" src=\"https:\/\/www.weeom.com\/blog\/wp-content\/uploads\/2023\/03\/Export-Office-365-Mailbox-to-PST-img-3.webp\" alt=\"POP and IMPA\" width=\"672\" height=\"481\" srcset=\"https:\/\/www.weeom.com\/blog\/wp-content\/uploads\/2023\/03\/Export-Office-365-Mailbox-to-PST-img-3.webp 672w, https:\/\/www.weeom.com\/blog\/wp-content\/uploads\/2023\/03\/Export-Office-365-Mailbox-to-PST-img-3-300x215.webp 300w\" sizes=\"auto, (max-width: 672px) 100vw, 672px\" \/><\/p>\r\n<ul>\r\n\r\n\r\n<li>At last, click on the Test account setting option. The process is easy to navigate, but problems with this method are you have to move data from Microsoft 365 mailboxes\u2019 separately, which will consume extra time and effort. Also, you cannot export Meta properties such as views, permissions, auto-archive, message rules, and so on.<\/p>\r\n\r\n\r\n\r\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\r\n<p>You\u2019ll need a third-party program to Export Office 365 mailbox to PST file without all of these solutions drawbacks.<\/p>\r\n<\/blockquote>\r\n\r\n\r\n\r\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Using_Office_365_Backup_Tool_to_Export_Office_365_mailboxes\"><\/span>Using Office 365 Backup Tool to Export Office 365 mailboxes<span class=\"ez-toc-section-end\"><\/span><\/h2>\r\n\r\n\r\n\r\n<p>For a better experience and to make the Office 365 export mailbox to PST easy and desired, use a third-party tool like\u00a0<a href=\"https:\/\/www.weeom.com\/office-365-backup.php\"><strong>Office 365 backup and restore tool<\/strong><\/a>.
